The role centers around three core pillars:
Managing Inquiries: Handle a high volume of calls, emails, and texts, ensuring accurate and timely collection of client information.
Complex Scheduling: Coordinate consultations for six attorneys, requiring precise calendar management and attention to detail.
Client Onboarding: Ensure seamless client setup, managing files and documentation with accuracy and efficiency.
Key Qualifications:
Proven experience as a receptionist or in a similar role, preferably in a law firm or medical practice.
Exceptional organizational and multitasking abilities to handle high call volumes and intricate calendaring.
Proficiency in Microsoft Office (experience with Mac systems is a plus).
Professional demeanor with strong communication and customer service skills.
Your Responsibilities
Inquiry Management: Be the first point of contact for all client communications—calls, emails, and texts—while gathering vital details and addressing inquiries professionally.
Calendar Coordination: Schedule consultations for six attorneys, ensure clients receive necessary documents, and confirm appointments to maintain smooth daily operations.
Client Intake & Onboarding: Accurately input client data into our systems, organize files, and manage document flow for new and retained clients.
Office Operations: Open and close the office, keep reception and conference areas presentable, and maintain a professional atmosphere.
Administrative Support: Assist with clerical tasks such as filing, copying, transcribing, and other duties to support the team.

LITIGATION ASSOCIATE ATTORNEY
Our busy trust and probate litigation practice in Solana Beach (with a second location in Pacific Beach) seeks a full-time Litigation Associate to join our existing staff of eight attorneys. This position will be based in our Solana Beach office, a short walk from the train station, and easily accessible from anywhere in San Diego County. Great opportunity to relocate from LA, the Inland Empire, or the Bay Area and enjoy the north San Diego County coastal lifestyle.
Had enough of the rat race at a big downtown firm? Our practice focuses exclusively on Estate Planning, Probate Administration, Trust Administration, and Trust and Probate Litigation. We seek an attorney with 5 or more years of demonstrable experience in civil litigation to join our growing, family-oriented firm. Trial experience is essential. Experience in Trust and Probate litigation is a plus, but not necessary.
You would be exclusively focused on litigation, representing beneficiaries, trustees, and other parties in Trust and Probate matters. This is an opportunity to establish a long-term career at our growing firm, not a transitional position. LITIGATION PAralegaL
Active, growing trust and probate litigation practice in Solana Beach seeks an experienced civil litigation paralegal with at least three years of recent work experience in a law firm. We seek a long-term addition to our team to be an important role in our continued growth.
KNOWLEDGE, SKILLS, ABILITIES REQUIRED:
Required: Minimum of 3 years of recent experience in civil litigation.
Solid understanding litigation issues, legal terminology, and legal processes.
Demonstrable hands-on experience with civil discovery and motion practice.
Familiar with state court rules, local rules, e-filing, and court procedures.
Proficiency with MS Word, Excel, and Adobe in a Mac environment.
Excellent organizational skills are critical. The right candidate must have the ability to efficiently organize and prioritize numerous tasks and complete them under strict time constraints, with attention to detail and accuracy.
Must be self-motivated with the ability to work independently and as a team member.
Strong research, analytical, and critical-thinking skills, and ability to work well under pressure.
Excellent communication and interpersonal skills, with ability to communicate with diverse attorneys, staff, and clients. Must possess the ability to provide information with courtesy and tact while safeguarding confidentiality.
Excellent grammar, proofreading, and English composition skills are also essential.
